Transforming Your Systems: The Key to Reclaiming Your Life

Hello and welcome back to the Empowered and Unapologetic podcast. I’m your host, Veronica Cisneros. Today, we’re diving into a topic that resonates deeply with many of us: transforming the systems around you rather than trying to change yourself. If you’ve been feeling stuck, overwhelmed, or just plain exhausted, stick around because I’ve got some tips that will help you reclaim your time and sanity, and make you feel alive again.

This topic is close to my heart. I used to wake up feeling like I was living the same day over and over again, like Groundhog Day. It wasn’t a midlife crisis, but I knew something had to change. After visiting Europe a few times, I noticed how Europeans truly embrace life. Here, we take pride in our work, but how much is too much? We’ve all experienced loss, and as a therapist, I often discuss life, legacy, and grief with my clients. One recurring theme is the realization that life is finite. If it were to stop now, would you be happy with how you’ve lived?

I’m about to start my group, Empower X, for high-achieving women who want to master motherhood, marriage, and success without compromising themselves. We’ll meet bi-weekly for four weeks, diving deep into our challenges and triumphs. But today, I want to share some insights with you.

The Problem Isn’t You, It’s the Systems

When the systems in your life don’t work for you, you feel overwhelmed and stuck. You might think you should be able to handle everything, but this isolation only leads to burnout and frustration. Let’s break this down into three actionable steps to transform your systems and make real change.

1. Identify Your Queen Bee Role (QBR)

The first step is understanding your QBR, a concept from Michael Michalowicz’s book Clockwork. Your QBR is the most critical function you perform, the one thing that drives the most value in your life. For some, this might be your job or business; for others, it could be spending quality time with your kids. Once you identify your QBR, build systems to support it. For instance, if leading your team at work is your QBR, delegate administrative tasks and use tools like Calendly for scheduling. If it’s being present with your children, delegate chores or use grocery delivery services.

2. Delegate and Automate

Next, look at your daily tasks and identify which ones you can delegate or automate. Hire help, use meal planning apps, or set up automatic bill payments. Freeing up your time allows you to focus on what truly matters. For example, a friend who runs a business from home hired a virtual assistant to handle emails and appointments, freeing up her time to grow her business and spend quality time with her kids.

3. Set Boundaries and Protect Your Time

Finally, protect your time by setting clear boundaries. Learn to say no and set specific times for work, family, and personal activities. Communicate these boundaries clearly with your family and coworkers. For example, one woman I know struggled with her kids interrupting her work time, so she set up a visual schedule indicating when it was okay to enter her office.

When you have systems that support your goals, you’ll feel less stressed and more productive. You’ll have more time for the things that matter most and be able to show up as the best version of yourself in all areas of your life.
